Maintain customers Record / DEFAULT INFORMATION OF CUSTOMER


Maintain customers Record

To maintain customers record select Maintain and you will see the following chart then click on the customers prospects as shown in the Picture below




After clicking on maintain you have to Use the Maintain Customers/Prospects window to enter, and store information about people to whom you sell goods and services. You can also enter information about companies and people with whom you would like to do business (prospects). For customers /prospects, in GENERAL this includes information such as:

  •         Address information, including separate billing and shipping information, e-mail address, and Web site address
  •        The customer's beginning balance






Sales default 

As shown in the window. First you have to select sales from your account maintained.

In which you can enter sales rep, GL sales account, pricing level which are different option available of pricing.

As shown in the picture below.



Payments default
Payments default for recording the credit customer options

The preferred method of payment for this customer

In this mode of payment was described


As shown in the picture there is customer name address and its credit information their credit card number expire date and etc.


Customer Fields

Customer Fields this window to enter the customer field and can change the option by filling the tabs you can change the option of field to your required
History
Sales history, including year-to-date and period-to-date sales and monthly totals

In the window above you can also save the history of customers by date invoice



                              DEFAULT INFORMATION OF CUSTOMER


To enter the default information, first you have to select the “MAINTAIN” and after that select the default information, and there is again a list from you have to select the customer.


 After that the following window will appear


In this window of customer defaults you have to fill out the certain things about your customer·        Payment Terms·        Accounts Aging·        Custom Fields·        Finance Charges·        Pay Methods
 PAYMENT TERMSIn this option you have to fill out the following things

C.O.D (cash on delivery).if you select this option, it means you will receive cash from this customer on delivery. Then you will have to set only the credit limit.
Second option is prepaid. If you select this option, it means you will receive the payment in advance. In this option you will also set the credit limit.Next option “DUE IN NUMBER OF DAYS”In this option you will have to select the due days number and the number of days in which discount will given and also the percentage of discount and credit limit.Next option “DUE ON DAY OF NEXT MONTH”You will have to select the date of next month when the payment becomes due.Next option “DUE AT END OF MONTH”
If you select this option it means the payment becomes due at end of month, in this option there is no need of any date.It is your choices which options will you choose. After choosing any option you will have to choose the general ledger sales account code and also the discount general ledger account. Weather you choose the discount option or not but you have to give the id of discount general ledger account otherwise the process will not be completed.Account AgingIn this window there are two options


·        Invoice date
·        Due date
After giving that information click on the next tab.Custom FieldsIn this window you fields label


In this window you have fields available and you can enter extra information about customer or vendor as you want. You can enable or disable a field; these fields are shown in customer’s custom fields
After giving that information click on the next tab. Finance ChargesThis window is finance charges

 In this finance charges fill out certain fields as per your requirements like days overdue up to amount, annual interest rate, balance above that, minimum finance charges. And you also have to select the GL account for finance charge. After filling the entire fields move on to the next Pay MethodsThis window is pay methods

 This is about the pay methods. You have to write the methods of the payment and also assign deposit ticket IDs. After that click on “OK” to save the settings..
